Track Record
Since 2007
The modern professional juggles dozens of commitments across work projects, personal errands, family obligations, and side projects. Without a trusted system to capture and organize these tasks, items fall through the cracks — the follow-up email you forgot, the deadline you missed, the errand you meant to run. Todoist serves as a reliable external brain that captures tasks the moment they arise (via quick add, email forwarding, or voice input), organizes them by project and priority, and resurfaces them at exactly the right time. The natural language processing removes friction from the capture process, so you spend seconds adding tasks instead of minutes clicking through forms. The cross-platform availability means your task list follows you from laptop to phone to watch. The result is reduced mental load, fewer forgotten commitments, and the calm confidence that comes from knowing everything is tracked.

Our Verdict
Todoist is the antithesis of bloated project management software. Where ClickUp and monday.com compete on feature quantity, Todoist competes on execution quality. The core experience — adding tasks, organizing them into projects, setting due dates, and checking them off — is best-in-class. The natural language input alone is worth the price of admission: type "Call dentist tomorrow at 2pm p1" and Todoist creates a high-priority task due tomorrow at 2PM. No clicks, no date pickers, no dropdowns.
The organizational system is elegant. Projects hold tasks, sections divide them logically, labels and filters slice across projects, and the Upcoming view gives you a timeline of everything ahead. For individuals and small teams who need personal productivity rather than enterprise work management, this simplicity is a feature, not a limitation. The app is lightning fast on every platform, rarely crashes, and syncs instantly.
The limitations are real though. Todoist is not a project management tool in the traditional sense — there are no Gantt charts, no time tracking, no workload views, and no native document collaboration. The free plan caps you at 5 active projects and 5 collaborators per project. The collaboration features on Pro ($5/month) are basic compared to dedicated team tools. And while there are integrations, Todoist intentionally stays lightweight rather than becoming an all-in-one platform.
Our recommendation: Todoist is the best personal task manager on the market, period. If you are an individual professional, freelancer, or small team (under 10) who values speed, simplicity, and cross-platform reliability over feature breadth, Todoist is unbeatable. Its natural language input, instant sync, and beautiful design create a task management experience that no competitor has matched.
Todoist offers three tiers. The Beginner plan is free and includes up to 5 active projects, 5 collaborators per project, 5MB file uploads, and 1 week of activity history. The Pro plan costs $5/month (billed monthly) or $4/month (billed annually at $48/year) and adds 300 active projects, 25 collaborators per project, reminders, calendar layout, 100MB file uploads, and full activity history. The Business plan costs $8/user/month (billed monthly) or $6/user/month (billed annually) and adds team workspaces, admin controls, team billing, and priority support.
Todoist works for both, but it truly excels for individuals. The personal task management experience is best-in-class. For teams, the Business plan adds shared workspaces, admin roles, centralized billing, and team activity logs. However, if your team needs project management features like Gantt charts, time tracking, automations, or workload views, tools like ClickUp or monday.com are better suited. Todoist is ideal for small teams (under 10) who want shared task lists and simple collaboration without the overhead of a full PM platform.
The key differentiators are natural language processing, cross-platform availability, and organizational depth. Todoist's Quick Add understands phrases like "Submit report every other Monday at 9am p1 #Work" and creates the task instantly with correct due date, priority, and project assignment. It works on every major platform (iOS, Android, Windows, Mac, Linux, web, browser extensions, email plugins, and smartwatches), while Apple Reminders is limited to the Apple ecosystem and Google Tasks lacks a dedicated desktop app. Todoist also offers projects, sections, labels, filters, and a Karma gamification system with streaks and goals that free alternatives simply cannot match in organizational depth and cross-platform reliability.
